We are not going to pretend Mindbody is wrong for everyone. It has been around since 1998 and there are cases where switching is not worth the effort:

• You run a large US yoga, pilates, or barre chain and a meaningful share of new members arrive via the Mindbody consumer app. For you, marketplace commission can be a customer acquisition cost, not a tax.
• You operate multi-location in the US and have already invested heavily in Mindbody-specific integrations, staff training, and Messenger[ai] workflows.
• You bundle Mindbody with Booker for a salon or spa side of the business - the integrated stack is mature.

If you're tired of bolting EU compliance onto a US tool

Mindbody supports SEPA Direct Debit in the EU - that much is true. What it does not do well is treat EU compliance as a first-class concern. PEPPOL e-invoicing, which is already mandatory for B2B invoicing in Belgium from 2026 and rolling out across other EU member states, has no documented support in Mindbody as of April 2026. If you invoice gyms-on-gyms (multi-site operators, corporate wellness, franchising), you have to bolt on a separate PEPPOL access point.

Mindbody's pricing is quote-gated, and third-party pricing ranges can age quickly once packages, add-ons, contract duration and payment setup are included. The practical advice is simple: compare the full proposal, not only the headline monthly line. Look at contract length, renewal language, app costs, marketing add-ons, export scope and what happens when you leave.

The exit story needs planning before the cancellation window. Full export scope, payment references and financial history should be confirmed before you choose a switch date.

If you want AI that actually touches the operations, not just the chat widget

Mindbody's AI product, Messenger[ai] (rebranded Bowtie.ai after the 2019 acquisition), is essentially a chat and SMS bot: missed-call text-back, front-desk chatbot for FAQs, and automated nudges toward package or membership upsell. Useful - but its scope ends at the conversation.

Mindbody has a "Language Translation Service" and some branded-app localisation options, but the staff dashboard, internal workflows, and support documentation are English-first. Operating a gym in Liège, Ghent, or Amsterdam with English-only admin tooling means extra training time and errors on the front desk.

The staff dashboard, the white-label mobile app, transactional emails, PDFs (invoices, contracts, membership cards), and the NFC desktop check-in app are fully localised in English, French, and Dutch. Members pick their language on signup; staff pick theirs in their profile - and the system honours both.

Most gym software uses "marketing engine" to mean scheduled email campaigns, maybe SMS, and a few retention templates. That helps, but it still leaves staff exporting lists, chasing no-shows manually, and running community moments outside the system.

1. Start the clock. Give Mindbody your 30-day written cancellation notice. This is also when you trigger the data export - do not wait until after cancellation or you may lose access.
2. Export your data. We work with the standard Mindbody CSV export for clients, memberships, class packs, scheduled classes and attendance history. Payment references and deeper financial history should be scoped before migration.
3. We import. Our onboarding team maps your Mindbody entities into Shredeo's schema - class packs, subscription packages, staff roles and permissions, branded assets. Typical import for a single-location gym takes under a week.
4. Re-authorise payments. Stored card and SEPA mandate tokens do not transfer between processors - this is a payment-network rule, not a Shredeo one. We send your members a branded re-authorisation flow through email and the member portal.
5. Run in parallel. Keep Mindbody active for 2–4 weeks while Shredeo handles bookings, check-ins, and new payments. When everything reconciles, cancel Mindbody for real.
