Access Control

Gym check-in software that moves the 6pm queue

Contactless gym check-in via NFC badge, QR code in the member app, or manual lookup at reception. Each entry is logged to the dashboard so you know who is training, how full the floor is, and which access cards belong to whom. Built for gyms and studios that want access control without a heavy enterprise system.

The 6pm queue should not slow down your members

Many gyms still run access in ways that make the front desk slower and the data less reliable:

  • Paper sign-in sheets or an honor-system clicker at reception, which means you genuinely have no idea who is in the building.
  • Members queue at peak time while reception searches lists or checks subscriptions by hand.
  • Shared or lost keycards circulating between friends, family members, and ex-members who never returned them.
  • Reception staff spend peak-hour attention processing manual check-ins instead of helping members, selling add-ons or onboarding new clients.

Contactless gym check-in fixes the workflow. Members can enter through NFC, QR or staff-assisted lookup, while the dashboard keeps access, attendance and occupancy visible.

Key Benefits

Fast NFC badge check-in

Members tap a printed card or keyfob on the reader and their access is validated against the active member record. Works with standard badge flows without forcing a proprietary card system.

QR code from the member app

Members who forget their badge can open the Shredeo app and use their QR code. Staff can scan it, validate the member record and keep the attendance history clean.

Live occupancy and capacity alerts

The dashboard shows how many people are inside, with occupancy views that help reception and managers understand busy periods and capacity pressure.

How It Works

1

Plug in the reader

Place an NFC reader at the door and connect it to Shredeo. The desktop companion app can run from the reception machine used by the team.

2

Issue cards or activate app access

Print NFC cards from the dashboard, hand out keyfobs, or invite members to use the QR in the app. You can run all three methods in parallel and keep the member record aligned.

3

Watch the floor, week after week

Attendance feeds into analytics for peak-hour patterns, no-show trends by class and members whose visit habits start to drop.

Access control software vs access control hardware

The hardware opens the door; the software decides whether the member should enter, records why, and gives staff a fallback.

QR, NFC and badges

Use QR for flexible mobile flows, NFC/RFID badges for fast reception or kiosk entry, and manual lookup for exceptions.

Membership and payment status

Validate active membership, package credits, payment status, cooldowns, restrictions and grace periods before access is approved.

Door control and logs

Keep access decisions, denied entries, staff overrides, class attendance and audit logs connected to the member record.

GDPR and 24/7 access

Avoid biometric positioning; use permissions, logs and clear policies when access runs without front-desk staff.

Check-in questions, answered

What hardware do I need and how much does it cost?+
You need an NFC reader for badge check-in and blank member cards or keyfobs if you want physical access media. QR check-in needs no door hardware beyond the member's phone and staff scanner flow.
What happens if a member forgets their badge?+
They open the Shredeo app and show a QR code, or reception searches them by name and checks them in manually. The member's attendance history stays clean regardless of method.
Can I migrate from my current system without losing attendance history?+
Yes. We can import member records, existing card identifiers and historical attendance from CSV or a structured export. During onboarding, we map the source data before the new check-in flow goes live.
Can access depend on membership or payment status?+
Yes. Access can be checked against the member profile, active membership, package rules and restrictions configured by the gym. Overdue payment workflows can also help decide when access should be restricted or restored.
How do you handle GDPR and data retention?+
Attendance logs are personal data under GDPR. Shredeo is designed so gyms can manage retention, exports, deletion requests and auditability around member attendance data.
What happens during an internet outage?+
The desktop companion can keep the active member list locally for supported offline check-in flows, then sync queued entries back to the dashboard with their original timestamps when the connection returns.
How is gym access control installed?+
Start with the workflow first: QR-only, NFC/RFID at reception, kiosk mode, or door control. Then connect the reader or door hardware to Shredeo so membership status and logs stay in the same system.
Can access control connect to memberships?+
Yes. Access can check active membership, credits, class booking, payment status, restrictions and grace periods before allowing entry.
Is gym access control GDPR-compliant?+
Shredeo is designed around account permissions, logs and non-biometric check-in methods. Use clear policies and only collect the access data needed to run the gym.
Can Shredeo support 24/7 gym access?+
Yes when the hardware and local safety process support it. The software side can validate member status, record logs and keep staff overrides traceable.
